LinkMySign, LLC ("Link My Sign," "we," "us," or "our") provides tools that allow users to create and manage QR codes for use with digital and physical signs. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit linkmysign.com, create an account, use our applications or services, or communicate with us (collectively, the "Service").
This Privacy Policy does not govern websites, marketplaces, listing services, or other destinations operated by third parties, even when a Link My Sign QR code or link directs you to them.
1. Information We Collect
Information You Provide
We may collect information that you provide directly, including:
- account information, such as your name, email address, company name, and account status;
- authentication information used to verify and secure your account;
- QR code and destination information, such as listing names, destination URLs, phone numbers, email addresses, Wi-Fi connection details, messages, and settings;
- communications you send to support, legal, or other business contacts;
- marketing preferences; and
- other information you choose to provide through the Service.
We do not receive or store payment-card information for physical signs purchased through Amazon; Amazon processes those purchases under its own terms and privacy practices.
Production account authentication is provided through Amazon Cognito. Link My Sign does not receive your Cognito password. If a Link My Sign-managed password is used in a supported legacy or development authentication flow, we store a one-way password hash rather than the readable password.
Information Collected Automatically
When you use the Service, we may automatically collect:
- device and browser information;
- IP address;
- log information, including access times, pages viewed, errors, and security events;
- account and session identifiers;
- cookie and similar-technology information; and
- usage information about interactions with the Service and QR code functionality, including QR scan or redirect timestamps, the QR code and listing involved, destination snapshots, entry paths, and user-agent information.
At launch, we do not use cookies or pixels for targeted advertising or remarketing. If we later introduce analytics or advertising technologies that materially change our practices, we will update this Privacy Policy and, where required, provide appropriate notice or consent choices.
Information From Other Sources
We may receive limited information from service providers that help us operate the Service, prevent fraud, communicate with users, or fulfill support requests. We may also receive purchase-related or customer-service information from Amazon when permitted by Amazon's policies and applicable law.
2. How We Use Information
We may use personal information to:
- create, authenticate, secure, and administer accounts;
- provide, maintain, troubleshoot, and improve the Service;
- generate, manage, pause, deactivate, or resolve QR codes and destination links;
- communicate about accounts, security, support, and Service changes;
- send occasional marketing or product-update emails, subject to applicable law and your opt-out choices;
- detect, investigate, and prevent fraud, phishing, malware, abuse, and security incidents;
- enforce our Terms of Service and Acceptable Use Policy;
- comply with legal obligations and respond to lawful requests;
- establish, exercise, or defend legal claims; and
- evaluate and develop features, products, and business operations.
3. How We Disclose Information
We may disclose personal information:
- To service providers. We use vendors to host infrastructure, store data, authenticate accounts, send email, provide security, and support operations. These may include Amazon Web Services, Amazon Cognito, Amazon Simple Email Service, Zoho, and related providers.
- At your direction. We may disclose information when you request or authorize us to do so.
- For legal and safety reasons. We may disclose information when reasonably necessary to comply with law, legal process, or governmental requests; protect rights, property, or safety; investigate fraud or abuse; or enforce our agreements.
- In a business transaction. Information may be transferred in connection with a merger, financing, acquisition, reorganization, bankruptcy, sale of assets, or similar transaction.
- With professional advisers. We may disclose information to lawyers, accountants, insurers, auditors, and other professional advisers subject to appropriate confidentiality obligations.
- In aggregated or deidentified form. We may use and disclose information that cannot reasonably identify you.
We do not sell personal information. We do not share personal information for cross-context behavioral advertising or use personal information for targeted advertising at launch.
4. Public and Third-Party Destinations
QR codes created through the Service may direct scanners to third-party websites or services selected by the user who created the QR code. Link My Sign does not control the content, privacy practices, security, availability, or accuracy of those destinations. Information you submit to a third-party destination is governed by that third party's policies.
At launch, Link My Sign does not offer public Link My Sign-hosted listing pages or native content uploads. If we introduce those features, information a user chooses to publish may be visible to anyone and may be copied, indexed, or redistributed outside our control. We will update this Privacy Policy before collecting materially different categories of information for those features.
5. Cookies and Similar Technologies
We use cookies and similar technologies that are reasonably necessary for login, authentication, session management, security, fraud prevention, preferences, and core Service functionality. More information is available in our Cookie Policy.
You can control cookies through your browser settings, but blocking necessary cookies may prevent account login or other features from working.
6. Marketing Communications
You may unsubscribe from marketing emails by using the unsubscribe link in the message or contacting us at legal@linkmysign.com. We may still send non-marketing communications, such as account verification, password resets, security notices, support replies, and important Service or policy updates.
7. Data Retention
We retain personal information for as long as reasonably necessary to provide the Service, maintain business and security records, comply with law, resolve disputes, and enforce agreements. In general:
- account and profile information is retained while the account is active and may remain after deactivation;
- QR code, destination, listing, and scan-history records are retained while needed to operate, troubleshoot, secure, and document the Service;
- authentication, security, support, and audit records are retained for reasonable operational, fraud-prevention, dispute, and legal-compliance periods; and
- backup copies may remain until they are overwritten through normal backup cycles.
Retention periods vary according to the type of information, why it was collected, operational requirements, and applicable law. We delete or deidentify information when it is no longer reasonably needed, subject to legal, security, backup, fraud-prevention, dispute-resolution, and legitimate business-record exceptions.
8. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your credentials and promptly notifying us of suspected unauthorized access.
9. Your Choices and Privacy Rights
You may update certain account information through the Service. The account-settings "Close Account" feature deactivates the account, disables login, and archives active QR codes; it does not by itself delete all account records. You may separately request deletion of eligible personal information by emailing legal@linkmysign.com. We may retain information when reasonably necessary for security, fraud prevention, legal compliance, dispute resolution, or legitimate business records.
Depending on where you live and subject to legal exceptions, you may have rights concerning your personal information, including rights to know or access, correct, delete, or obtain information about certain disclosures. You may also have the right to appeal a denied request or opt out of certain processing. Link My Sign does not currently sell personal information or process it for targeted advertising.
To submit a privacy request, email legal@linkmysign.com with enough information for us to understand and verify the request. We may ask for additional information to verify your identity and authority. We will not unlawfully discriminate against you for exercising an applicable privacy right. Authorized agents may submit requests where permitted by law, subject to verification.
These statements do not grant rights that do not apply under applicable law, and certain information may be exempt from a request.
10. California Disclosures
California residents may have rights under California privacy law if Link My Sign is subject to the applicable law. During the preceding 12 months, we may have collected the categories described in Section 1, including identifiers, internet or electronic-network activity, commercial information received in connection with purchases or support, and account-related information. We collect these categories from users, devices, service providers, and business partners for the purposes described in Section 2, and disclose them to the recipients described in Section 3.
We do not knowingly sell or share personal information as those terms are defined by the California Consumer Privacy Act. We do not knowingly sell or share the personal information of consumers under 16.
11. International Users
The Service is operated from the United States and is currently directed to users in the United States. If you access the Service from another country, your information may be transferred to, processed, and stored in the United States, where privacy laws may differ from those in your location. Access from another country does not mean that Link My Sign offers the Service in that country. International users may contact legal@linkmysign.com regarding any rights that apply under local law.
12. Children's Privacy
The Service is not directed to children or teenagers under 18, and persons under 18 may not create accounts or use the Service. We do not knowingly collect personal information from children under 13. If you believe a child under 13 provided personal information, contact legal@linkmysign.com so we can investigate and take appropriate action.
13. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes in the Service, our practices, or applicable law. We will post the updated policy and revise the "Last Updated" date. If a change is material, we may provide additional notice as required by law.
